Banquet/Meeting Space
Function space is assigned according to the number of people guaranteed to attend. Hayden’s reserves the right to
substitute alternative space within the restaurant/hotel if it deems necessary or if the attendance deviates substantially from the originally contracted number. The Group agrees to promptly notify Hayden’s of any changes in its function space requirements and Hayden’s will make its best effort to accommodate the changes.
Food & Beverage
Hayden’s reserves the right to inspect and control all private parties, meetings and receptions held on the premises. Hayden’s is the exclusive caterer for all events. No food or beverage may be brought into hotel conference rooms, dining rooms, or public areas without prior approval by the Catering Department. The Oregon Liquor Control Commission regulations require we provide a bartender to dispense all alcoholic beverages. A corkage fee will be assessed for each bottle of wine brought in.
Scheduling
The Group agrees to begin and end functions promptly at the scheduled time. If there is going to be a delay in the start of the function, it is the responsibility of the Group representative to notify the banquet staff. If the delay exceeds half an hour or more, the Group may incur additional charges. The Group agrees to vacate the designated function area at the closing hour as indicated. A $50/per half hour charge will be assessed for any time over the contracted schedule.
Decorations/Signage/Literature
Decorations or displays brought into the hotel or restaurant by the guest must be approved prior to arrival. Items may not be attached to any stationary wall, floor, window or ceiling with nails, staples, tape or any other substance as this may damage the fixtures and furnishings. The client will assume responsibility for any damages to hotel or restaurant premises from such items. Signage is not permitted in the lobby or public areas without prior approval. Signage may be used inside of the meeting rooms.
Audio Visual Equipment/Entertainment
We are equipped to handle all audio-visual needs. All banquet rooms have access to high speed internet. We also can provide dance floors, entertainment, and party decor, however no fog machines will be permitted. We have a wide variety of entertainment suggestions as well. We reserve the right to determine the appropriate standards for all noise and or music levels. If at any time these levels are deemed inappropriate, we will insist that they be reduced.
Parking and Security
The Century Hotel and Hayden’s provides free parking for all of our guests. Please consult your event planner with any questions for special parking needs. The Century Hotel and Hayden’s Grill will not assume any responsibility for damage or loss of any articles or merchandise brought onto the property.
Gratuity
A 20% service charge is applied to all food and beverage billings. If no food or beverage is purchased, a 10% service
charge is applied to the room charge. When a chef is needed for in-room preparation or carving, a $50 labor charge will be assessed for each chef needed. Menu prices are subject to change, with prices guaranteed 30 days prior to your event. Hayden’s does not accept separate checks for catering functions. We accept company checks, American Express, Visa, Mastercard, Discover or cash.
Billing
Payment in full, less any prepaid deposit, is due immediately following the event. A direct billing account can be
established for the Group under the following conditions: Completion of the Hayden’s Lakefront Grill direct bill
application. A completed application must be received 45 days prior to the arrival of the group. Hayden’s reserves the right to remove a group from direct billing if timely payments are not made.
Cancellations
Full charges will be billed to the group if the event is canceled within five (5) days prior to the event date. Events
canceled within thirty (30) days from the event date will be subject to a charge equal to the room fee.
Deposits
A deposit is required to reserve space for your event. The deposit will be applied towards your final bill. We operate on a first-come, first served basis so the first person to place a deposit on a date will reserve the space. Sixty (60) days prior to the event the deposit becomes non-refundable.
Guarantee
In order to assure that your event is successful, we require that the catering department be notified of the guaranteed number of attendees by 12 PM at least (3) business days in advance of your event. The guarantee provides the basis for charges and is not subject to reduction. Confirmation of all meal functions as to the number of guests is the sole responsibility of the Group’s meeting planner. You will be charged for the guaranteed number plus any covers over and above. Your room will be set-up for the guaranteed number. If Hayden’s Lakefront Grill receives no guarantee number, you will be charged for the estimated number given on the signed contract, plus any covers over and above. Any changes (menu selection and/or banquet room set-up changes) occurring after the 3 business day guarantee are at the discretion of the catering department and will be charged $50 per change.
Conduct
The Group will conduct the function in an orderly manner, in compliance with the rules of Hayden’s Management, and with all applicable laws, ordinances and regulations. Functions must be confined to the function space rented and scheduled. Hayden’s reserves the right to exclude or eject any and all objectionable persons from the function, or the restaurant/hotel premises, with liability.
